Member365 or campai: Membership administration and professional development.
For an association considering Member365, onboarding and optional professional development tools can matter as much as renewals. This comparison separates everyday membership work from education requirements. It also identifies what to include in a proposal so a starting subscription does not obscure setup or premium module costs. For clubs with 1,000+ members, campai offers a stronger fit for complex operations through large-club experience, advanced features, and integrations.
campai GmbH publishes this comparison and sells one of the products being compared. It draws on product documentation, help articles, and documented campai capabilities. We did not conduct an independent hands-on test.
What matters for your shortlist
For clubs with 1,000+ members, campai is the stronger choice when complex member administration, resource bookings, and custom integrations are central to daily operations. Experience with large clubs and advanced automation support that fit. Member365 also offers guided onboarding and optional professional development tools. If continuing education is essential, evaluate those modules separately: campai’s credential tracking does not establish an equivalent learning management system.
Why campai is the stronger choice for clubs with 1,000+ members.
For clubs coordinating large memberships, multiple departments, and complex workflows, campai combines experience with large organizations, advanced administration features, and integrations. Your team can automate recurring work and connect the platform to the systems your club uses.
Experience with large clubs
ALBA Berlin, a basketball club in Germany, describes working with campai since 2020. At the time of its account, the club had nearly 2,500 members and more than 150 coaches. That work brings practical experience with complex club structures.

Custom fields, roles, and access permissions help you organize responsibilities. Rules based on contact and membership data automate recurring actions, giving your staff a structured way to manage a large member base.
Explore member management and automationIntegrations and custom extensions
API access and webhooks connect other systems. Custom apps can respond to record changes or run on a schedule, supporting workflows beyond standard administration. Include configuration and any development work in your implementation plan.
Explore integrations and developer toolsSeparate continuing education from document tracking
Member365 identifies professional development among its optional offerings. If education drives your purchase, document the courses, completion rules, credits, and member records you need. campai’s certificate and document features should be assessed for their stated administrative tasks. Tracking an expiration date or requesting a document does not establish a replacement for a learning platform.
Treat onboarding as part of the proposed scope
Member365’s pricing information separates a starting subscription, a setup fee, and premium modules. Its core product covers records, renewals, self-service, events, and communication. Ask what the setup includes for your existing data, membership rules, and staff training. Use a current US proposal that explicitly confirms currency and any API or integration requirements before comparing totals.
What we compared and how
We compare campai and Member365 across 23 selected capabilities. The selection starts with documented campai features. It is not a complete inventory of either product or a basis for an overall score.
The comparison includes Member365’s core tools and identifies optional modules. Learning management and continuing education are separate requirements; campai’s document validity tracking is not presented as a replacement for a learning management system.
Define the product scope
We distinguish product editions, plans, optional modules, and external integrations. A documented feature may cost extra and may not be available on every plan.
Connect claims to evidence
For the other provider, we use the linked product pages and help articles. For campai, we also use internal product documentation. The source register labels this first-party evidence; the related public product page provides additional context.
Separate evidence from uncertainty
A check means the capability is documented. A dash means the exact workflow is only partly documented or could not be confirmed. It does not mean the feature is missing. A cross indicates documented unavailability.
We did not measure day-to-day usability, support response times, performance under load, or the quality of an actual migration. The research date reflects the recorded evidence review. Updating the report does not mean every source was checked again.
This comparison covers US use cases. Confirm US availability, contract currency, payment options, and the scope of each module in your proposal.
Membership work, event attendance, and document requirements
These criteria cover the administrative work around membership and participation. Certificate expiration and document tracking are narrow capabilities; they do not establish an equivalent learning management system or continuing education product.

More about campai and Member365.
Can certificate tracking replace Member365 professional development tools?
Not by itself. Expiration dates, document requests, course delivery, and credit tracking are different requirements. Define the education workflow and verify each part before treating the products as interchangeable.
What should the Member365 setup proposal specify?
Ask for the records to be imported, membership rules to be configured, staff training, responsibilities, and acceptance criteria. List any premium modules, API access, and accounting integrations separately.
Can I assume a published dollar amount is a US price?
No. Confirm USD, billing terms, setup charges, and the selected modules in a US proposal. This comparison does not convert another market’s price into dollars.
