Why track volunteer hours
Volunteer hours are one of the clearest signs of community support, and many funders ask for them. A simple volunteer hours log turns “we rely on volunteers” into a number you can report, compare year over year and thank people for.
- Grant applications and reports. Funders often ask how many volunteers you engage and how many hours they give, sometimes as an in-kind contribution or match.
- Annual reports and donor updates. Hours and their estimated value show the scale of your work beyond the budget.
- Recognition. Knowing who gave the most time this season makes thank-yous, awards and service letters easy.
- Planning. Hours by activity show where you depend on volunteers and where you need more help.
- Service requirements. Students, scouts and others who need verified service hours ask you to confirm them; a signed log sheet is the record.
Volunteer hours log sheet
A volunteer hours log sheet works on a clipboard at the door, in a binder at the front desk or as a spreadsheet the coordinator fills in. Whatever the format, record the same things for every shift:
- the date,
- the volunteer’s name,
- the activity or program,
- the time in and time out, or the hours, and
- the coordinator’s initials, if you confirm hours for students or court programs.
Consistency matters more than precision. Agree on how you count: whether travel time and training count, how you round (to the nearest quarter hour is common), and who collects the sheets after each event. Collect them weekly, enter them right away, and keep the paper sheets for the year in case a funder or a student’s school asks for proof. If volunteers sign in on a tablet or a form instead, export the entries once a month into the same log so all hours end up in one place.
The tool gives you two versions. The printable volunteer hours sheet has 20 lines with exactly these columns and a signature line for the coordinator. The Excel volunteer hour tracker has a log with room for 200 entries and a summary sheet that totals hours per volunteer and calculates the value automatically. Both download without sign-up.
- Print the log sheet or open the tracker. Use the paper sheet for events and shifts, the Excel tracker for the coordinator.
- Record every shift. Date, name, activity and hours, right when the shift ends.
- Enter the hours in the calculator. Add one row per shift; totals per volunteer and activity update as you type.
- Choose the value per hour. Keep $36.14, the national estimate, or use your state’s value if a funder asks for it.
- Download the summary. Use it in grant reports, the annual report or thank-you letters.
Value of volunteer time (national and by state)
Independent Sector, a national network of nonprofits, publishes an estimate of what an hour of volunteer time is worth. Its latest national value is $36.14 an hour for 2025, released on April 21, 2026 and marked preliminary. It is based on average hourly earnings, so it reflects what the work would cost if you paid for it.
Independent Sector also publishes values by state, which can be higher or lower than the national figure. If a funder or your state asks for the state value, or for the market rate of specialized work such as legal or accounting help, change the value per hour in the calculator.
Four shifts by three volunteers: 15.5 hours
15.5 hours × $36.14 = $560.17 of estimated volunteer value
Over a season of 1,200 hours, that is $43,368.00, or the equivalent of 0.58 full-time positions at 2,080 hours a year.
Using volunteer value in grant reports
In a grant report, give the number of volunteers, the hours and the estimated value, and say which rate you used, for example: “42 volunteers gave 1,200 hours, valued at the national rate of Independent Sector.” Funders that accept volunteer time as an in-kind match usually say which rate they accept; follow their rules.
Keep two things apart. Volunteer time is not a donation the volunteer can deduct: volunteers can’t deduct the value of their time, only out-of-pocket costs such as unreimbursed mileage at the charitable rate. And in your financial statements, accounting standards allow you to record donated services as revenue only in limited cases, such as specialized skills; ask your CPA before you put volunteer value into your books or your Form 990.
“From March to August 2026, 42 volunteers gave 1,200 hours to our food pantry, sorting donations, staffing distribution days and delivering groceries to homebound neighbors. At Independent Sector’s national value of $36.14 an hour for 2025, their time is worth about $43,368.00, the equivalent of 0.58 full-time staff.”
The value summary from the tool contains the totals, hours by activity and hours by volunteer, with a sentence ready to paste into a report.
Frequently asked questions
Why track volunteer hours?
Because funders, boards and donors ask for them, and because they show what your organization achieves beyond its budget. Tracked hours also make recognition and service confirmations easy.
What is the value of a volunteer hour?
Independent Sector’s latest national estimate is $36.14 an hour for 2025, released on April 21, 2026 and marked preliminary. State values differ; use them if a funder asks.
Can volunteers deduct their time?
No. Volunteers can’t deduct the value of their time or services. They can deduct out-of-pocket costs, such as unreimbursed driving at the charitable mileage rate, as part of their charitable deduction.
What should a volunteer hours form include?
Date, volunteer name, activity, time in and out or total hours, and a coordinator’s initials if you confirm hours for someone else. The printable log sheet in the tool has these columns.
Can we record volunteer time as revenue?
Only in limited cases under accounting standards, typically services that require specialized skills you would otherwise pay for. Most organizations report volunteer value in narratives and grant reports instead. Ask your CPA.
